Coach licences, vetting and safeguarding records
How the club tracks each coach's and volunteer's licence, vetting and safeguarding training, and who can verify them.
For club admins, coaches
Open Club, then Compliance. A club admin or the safeguarding lead sees Coach and volunteer compliance for everyone. Other staff see Your licences and vetting, with only their own records.

What each role needs
- Coaches and head coaches: coaching licence, vetting, Safeguarding Essentials, first aid, UKAD Coach Clean and IIHF Integrity.
- Club admins, team managers and the safeguarding lead: vetting and Safeguarding Essentials.
- Vetting is an Enhanced DBS, PVG membership (Scotland) or an AccessNI check, depending on your home nation.
Add a record
- Under Add a record, choose the Person and the Record.
- For a licence, choose the Level (licence only).
- Enter Issued or completed on.
- Leave Expires on (optional) blank to have it worked out for you, or enter the date.
- Tick On the DBS Update Service if it applies, then press Save.
| DBS, AccessNI, first aid | Expire after 3 years by default |
| PVG | 5 years |
| Safeguarding Essentials | 1 year |
| UKAD and IIHF | The next 30 November |
Keeping on top of it
Tiles at the top count records Expired, Expiring in 60 days and Missing. Each record shows In date, Expiring, Expired or Missing. Home shows the club admin and safeguarding lead how many coaches are missing safeguarding records.
Other staff can add their own records on the same page, reached from Your licences, vetting and training on their profile. These show as unverified until a club admin or the safeguarding lead presses verify. Records a club admin or the safeguarding lead adds are verified as they are saved.
