Terms of service

RinkTracker is a product of EIH Stats, a UK business, at Digital Media Centre, The Seam, County Way, Barnsley, S70 2JW. These terms apply when a club (“the club”, “you”) uses the RinkTracker app (“the service”). The person accepting them for the club confirms they are authorised to do so.

They work together with our privacy policy, acceptable use policy and the data processing agreement the club accepts in the app, plus any order form or quote we agree in writing. If they conflict, the order form wins, then the data processing agreement, then these terms.

RinkTracker is a web app for junior ice hockey clubs: skills checks, goals and reviews, reports, video, drills and sessions, off-ice training, the schedule and registers, and safeguarding records. We may improve and change features over time; we won't remove something the club depends on without reasonable notice.

The club decides who to invite and what role each person has. The club is responsible for:

• inviting only people who should have access, and removing them when they leave;
• making sure staff with access to children are vetted and trained as Ice Hockey UK requires;
• getting a parent's consent before a player aged 13 or over has their own login, and before medical details or video of a child are recorded;
• keeping sign-in email accounts secure, and telling us at once about any access it didn't authorise.

The club owns the data it and its members put into RinkTracker, and is its data controller. We process it only to provide the service, under the data processing agreement, and never sell it, advertise with it or use it to train AI models. The club can export its data at any time; when the subscription ends we delete it within 30 days unless the law requires us to keep it.

Fees are set out in the quote or order form, in pounds sterling, and exclude VAT where VAT applies. Unless agreed otherwise they are billed in advance for each season or year and payable within 30 days of invoice. If an invoice is more than 30 days overdue we may, after giving written notice, pause access until it is paid; we will never delete data because of late payment without first giving the club the chance to export it.

We aim to keep RinkTracker available around the clock, apart from planned maintenance we try to schedule outside training times. Scoring keeps working without a connection and syncs later. Support is by email at hello@rinktracker.com, on UK working days.

People the club invites use RinkTracker free of charge, as part of the club's subscription. By signing in they agree to:

• use it only for the club's hockey activities, and follow the acceptable use policy;
• not share another child's information, scores or video outside the app;
• tell the club if something they can see shouldn't be visible to them.

Nothing in these terms affects anyone's statutory rights as a consumer.

We own RinkTracker, its software, design and built-in content (including the drill and exercise libraries, except third-party videos, which belong to their owners). The club gets a non-exclusive right to use the service during the subscription. Drills, sessions, rubrics and notes the club creates remain the club's.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow to be limited.

Otherwise, neither side is liable for indirect or consequential loss, or loss of profit, and each side's total liability in any year is limited to the fees paid or payable by the club in the 12 months before the claim. RinkTracker supports coaches' judgement; it does not replace it, or the club's own safeguarding, medical and welfare responsibilities.

Either side can end the agreement at the end of a paid period by giving 30 days' written notice, or straight away if the other side seriously breaches these terms and doesn't put it right within 30 days of being asked. When it ends, access stops, the club has 30 days to export its data, and we then delete it.

We may update these terms. We will tell clubs at least 30 days before a change that affects them materially, and a club that doesn't accept the change can end the agreement before it takes effect.

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, except that a club in Scotland or Northern Ireland may also bring proceedings in its own courts. We'd always rather sort out a problem by talking first: email hello@rinktracker.com.
